1. Scope and Accountability

FreightShipping.ca is owned and operated by 1001087630 Ontario Inc., a corporation incorporated under the laws of the Province of Ontario, Canada. In this Policy, "FreightShipping.ca", "we", "us", and "our" refer to 1001087630 Ontario Inc. and to the website it operates at freightshipping.ca.

This Policy applies to personal information under the control of FreightShipping.ca in connection with its commercial website and services. Personal information generally means information about an identifiable individual. It does not necessarily include information about a business as an organization, although business contact information may still be personal information in some circumstances.

FreightShipping.ca is responsible for personal information under its control and seeks to manage it in accordance with applicable Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA) where it applies, and, where applicable, provincial privacy legislation including Quebec's Act respecting the protection of personal information in the private sector (as amended by Law 25), the Alberta Personal Information Protection Act, and the British Columbia Personal Information Protection Act, as well as other applicable territorial or foreign laws where required.

This Policy does not govern independent third-party websites, publishers, freight companies, payment processors, social networks, or other organizations that operate under their own privacy practices.

2. Information We Collect

The information we collect depends on how you interact with FreightShipping.ca and may include:

  • Identity and contact information: name, business role or title, company name, email address, telephone number, mailing or business address, and other contact details you provide.
  • Company and directory information: company name, website, business address or service area, public phone numbers, public email addresses, descriptions, categories, services, social profiles, logos, and other information intended for a company profile.
  • Submission and verification information: information used to administer a listing claim, update request, verification review, correction request, or other business-information process, including supporting documents or communications where provided.
  • Service and account information: information relating to Verified Company subscriptions, press-service orders, approvals, revisions, renewal status, customer support, and service history.
  • Billing and transaction information: billing name and address, transaction records, payment status, invoice information, and limited payment-related information received from a payment processor.
  • Communications: messages, inquiries, feedback, correction requests, support requests, consent choices, and correspondence with us.
  • Technical and usage information: IP address, browser or device information, timestamps, referring pages, pages viewed, interaction data, security events, and similar information that may be generated through ordinary website operation, hosting, security, or analytics tools.

We aim to limit collection to information reasonably needed for identified business, operational, legal, security, publication, or service-delivery purposes.

3. Directory Information and Information Intended for Publication

FreightShipping.ca operates a freight and logistics company directory. Directory information may come from publicly available sources, company websites, public business records, company representatives, listing submissions, corrections, or verification processes.

Information intended for public display may include a company name, logo, website, public business address, service area, business phone number, public email address, company description, categories, services, social-media links, and other information supplied or confirmed for publication.

Administrative information may include the name and direct contact details of the person submitting or managing the listing, verification correspondence, supporting materials, internal notes, security information, and billing records. Administrative information is not automatically published merely because it was submitted in connection with a listing.

Information that is already publicly available may not always be treated as private in the same way as non-public personal information, but we still aim to use public-source information responsibly and in a manner consistent with applicable law and the purposes of the directory.

A company or authorized representative may contact us to request correction or review of directory information. Removal is not guaranteed where we have a lawful reason to retain or publish information, including accurate public business information, but we will review legitimate requests appropriately.

4. Listing Forms, Claims, Updates, and Contact Inquiries

When you use a form to add, claim, or update a company listing, we may collect both information intended for publication and information needed to authenticate, review, process, communicate about, or document the request. We may contact the submitter or company using the information provided to clarify the submission, confirm authority, request supporting information, notify them of status, prevent abuse, or maintain the listing.

When you contact us through a contact form or by email, we use the information you provide to receive, route, respond to, document, and follow up on the inquiry. Submitting an inquiry does not by itself mean that you consent to unrelated marketing communications.

Forms may use anti-abuse and security technologies, including Cloudflare Turnstile, which may process technical information to distinguish legitimate users from automated or abusive activity. The provider's own processing is subject to its applicable terms and privacy practices.

5. Verified Company and Sponsored Press Customers

For Verified Company and Verified + Press services, we may collect information necessary to establish the customer relationship, conduct the applicable review, maintain the service, communicate with company representatives, create or approve sponsored content, process renewals, manage revisions, and address service or compliance issues.

Verification materials may include information provided by the company or representative and information reviewed from available business or public sources. Only information appropriate for public display is intended to appear on the public profile. Internal review notes, administrative communications, and supporting records are generally kept for operational purposes unless disclosure is required or authorized.

Information supplied for sponsored press may be intended for publication once approved. Before submitting personal information about employees, executives, customers, partners, or other individuals for publication, the customer is responsible for ensuring it has the appropriate authority, consent, or other lawful basis to provide and publish it.

6. Payments and Billing Information

Paid services may be processed using a third-party payment processor. Depending on the payment method and provider, the processor may collect payment-card or financial information directly. FreightShipping.ca may receive limited transaction information such as the customer's name, billing details, transaction identifier, payment status, amount, currency, subscription or renewal status, and limited card descriptors such as card type or last digits.

Unless expressly stated otherwise for a particular payment flow, FreightShipping.ca does not intend to receive or store complete payment-card numbers or card security codes on its own website systems. Payment processors handle information under their own privacy and security obligations.

7. Technical Information, Hosting, and Security Logs

Like most websites, FreightShipping.ca and its hosting, security, and infrastructure providers may automatically receive technical information when a browser or device connects to the site. This may include IP address, user-agent or browser information, device type, timestamps, requested URLs, referring pages, approximate geographic information derived from an IP address, error information, and security or access logs.

We may use this information to deliver pages, maintain website performance, troubleshoot errors, measure use, protect forms and services, investigate suspicious activity, prevent fraud or abuse, and maintain appropriate operational and security records.

8. Cookies, Google Tag Manager, Analytics, Advertising, and Similar Technologies

FreightShipping.ca uses Google Tag Manager on website pages to manage website tags and may use Google Analytics or similar measurement tools to understand website traffic and usage. Depending on configuration, these technologies may collect or receive information such as page views, referral source, browser and device characteristics, session information, approximate location, interaction events, and identifiers stored in cookies or similar technologies.

Cookies and similar technologies may also be used for necessary website functionality, security, fraud prevention, preference storage, or measurement. Blocking or deleting cookies may affect website functionality. These technologies operate when you load a page. You can use browser controls, browser privacy settings, or the Google Analytics opt-out browser add-on to limit or block much of this collection, and you can contact us to ask that measurement and advertising data associated with you be deleted.

Advertising, conversion measurement, and server-side data sharing

We measure the performance of our marketing and of actions taken on the website, such as a completed listing submission, inquiry, or purchase. In addition to tags that run in your browser, we may send conversion and event information to advertising and measurement platforms directly from our servers using conversion APIs or similar server-side interfaces.

Information shared in this way may include the event and its value, page and campaign identifiers, advertising or cookie identifiers, IP address, user-agent information, and, where a form or purchase is completed, contact identifiers such as an email address or telephone number, which are typically transmitted in hashed form. Platforms use this information to attribute conversions, measure and report on campaigns, build or match audiences, and improve ad delivery, in accordance with their own terms and privacy practices.

We do not send the free-text contents of contact messages, listing descriptions, verification documents, or payment card data to advertising or measurement platforms. You may contact us to ask that we stop associating conversion or advertising data with you, and to request deletion of measurement data we hold about you.

Form information is different from analytics data. We do not intentionally use website analytics tools as a destination for the full contents of contact messages, listing descriptions, verification documents, payment-card data, or other sensitive form contents. Technical form-interaction events may still be generated by browser, security, tag-management, or analytics configurations, so tracking configurations should be periodically reviewed.

9. How We Use Personal Information

We may use personal information for purposes such as:

  • operating, maintaining, securing, and improving FreightShipping.ca;
  • receiving, reviewing, publishing, correcting, and administering directory listings;
  • confirming the identity or authority of a person acting for a company;
  • providing Verified Company and sponsored press services;
  • communicating about submissions, services, renewals, support, corrections, or inquiries;
  • processing payments, billing, accounting, taxes, refunds where applicable, and financial recordkeeping;
  • detecting, preventing, investigating, or responding to fraud, spam, abuse, security incidents, legal claims, or violations of our Terms;
  • measuring website usage and improving content, navigation, performance, and services;
  • measuring, attributing, and improving the performance of our advertising and marketing campaigns;
  • sending marketing communications where we have appropriate consent or another lawful basis;
  • complying with legal, regulatory, tax, accounting, contractual, or recordkeeping obligations; and
  • other purposes that are explained at the time of collection or otherwise permitted or required by law.

Where consent is the appropriate basis for a use or disclosure, the form of consent may depend on the sensitivity of the information, the reasonable expectations of the individual, the context, and applicable law.

10. Service Providers and Other Disclosures

We may use service providers to perform functions on our behalf. Depending on the feature, these may include website hosting and infrastructure providers, workflow-automation providers, anti-abuse and security providers, analytics and tag-management providers, email and communications providers, payment processors, professional advisers, and other vendors needed to operate the website and services.

Our current technical environment may involve providers such as SiteGround for hosting, n8n for workflow automation, Cloudflare for Turnstile or related security functionality, and Google for tag management, analytics, advertising, and conversion measurement. We may also share conversion and event information with advertising and measurement platforms as described in Section 8. Providers, features, and configurations may change over time as our systems evolve.

We may also disclose information:

  • with your consent or at your direction;
  • to publish information you or a company representative intentionally provides for public display;
  • to comply with law, court orders, subpoenas, regulatory requirements, or lawful governmental requests;
  • where reasonably necessary to investigate fraud, security threats, abuse, rights violations, or potential unlawful activity;
  • to establish, exercise, or defend legal rights or claims; or
  • in connection with a merger, acquisition, financing, reorganization, sale of assets, insolvency proceeding, or similar business transaction, subject to applicable legal requirements.

We do not sell personal information in the ordinary meaning of selling a person's personal information for money to unrelated third parties. Publishing company information at the request of a company, using service providers to operate the site, or displaying a paid company profile is not treated by us as a sale of personal information.

Some privacy laws, including certain United States state laws, define terms such as "sale", "share", or "targeted advertising" broadly enough to cover the sharing of identifiers with advertising and measurement platforms described in Section 8. Where those laws apply to you, you may contact us to opt out of that sharing, and we will give effect to the request to the extent required by the applicable law.

11. Cross-Border Processing

Some service providers may process or store information outside Ontario or outside Canada. As a result, information may be subject to the laws of the jurisdiction where it is processed and may be accessible to courts, law-enforcement agencies, regulators, or other authorities in that jurisdiction where legally permitted.

Where applicable, FreightShipping.ca remains responsible for personal information transferred to service providers for processing and seeks to use contractual, technical, organizational, or other appropriate measures to require a level of protection appropriate to the information and the service being provided.

12. Service Communications, Marketing Email, and SMS

Service and transactional communications

We may send communications reasonably necessary to respond to an inquiry, process a listing, verify authority, administer a subscription, deliver a purchased service, provide security notices, issue billing or renewal notices, or otherwise manage an existing request or business relationship. These operational messages are distinct from optional promotional marketing.

Marketing communications

Where we send commercial electronic messages by email, SMS, or another electronic address, we seek to do so with appropriate consent or another lawful basis and to provide identification and unsubscribe or opt-out mechanisms as required by applicable law. Optional marketing or SMS choices on a form are not intended to be a condition of merely submitting a free company listing or sending an ordinary inquiry unless clearly stated and legally permitted.

You may withdraw consent to marketing communications using the unsubscribe mechanism provided, by following an available SMS opt-out instruction, or by contacting us. We may retain limited suppression information so that we can honour an unsubscribe request and avoid re-adding an address inadvertently.

13. Workflow Automation and AI-Assisted Processing

FreightShipping.ca may use automated workflows and AI-assisted tools to help route submissions, organize information, identify incomplete fields, categorize companies or content, prepare drafts or summaries, detect abuse, support administrative review, or improve operational efficiency.

Automated tools may process information submitted through forms or drawn from public business sources where appropriate for the relevant workflow. We do not intend to use automated processing to make decisions that produce legal or similarly significant effects on individuals without appropriate human involvement and a lawful basis.

Where third-party AI or automation providers process personal information on our behalf, they are treated as service providers and the principles in the service-provider and cross-border sections of this Policy apply.

14. Retention

We retain personal information only for as long as reasonably required for the purposes for which it was collected, for compatible operational purposes, or as required or permitted by law. Retention periods vary by type of information and context.

  • Directory information may remain while a listing is published or while we have a legitimate reason to maintain historical, correction, attribution, or integrity records.
  • Submission and verification records may be retained to administer listings, document authority or review steps, prevent fraud, resolve disputes, and maintain the integrity of the directory.
  • Customer and billing records may be retained for service administration, accounting, taxation, audits, chargebacks, disputes, and other legal or business recordkeeping requirements.
  • Communications may be retained while needed to respond, maintain records of a request, or manage an ongoing relationship.
  • Marketing consent and suppression records may be retained to document consent or ensure that an unsubscribe request continues to be respected.
  • Security and technical logs may be retained for reasonable periods needed for security, troubleshooting, fraud prevention, abuse investigation, or legal compliance.

When personal information is no longer reasonably required, we may delete, anonymize, aggregate, or securely dispose of it, subject to technical limitations, backups, legal holds, and applicable requirements.

15. Security and Privacy Incidents

We use administrative, technical, and organizational safeguards that we consider reasonable in relation to the sensitivity, amount, format, and use of the information. Measures may include access controls, hosting and network security, anti-abuse protections, restricted handling of secrets or credentials, workflow controls, and other security practices appropriate to the system involved.

No website, transmission method, cloud service, or storage system can be guaranteed to be completely secure. We therefore cannot promise absolute security.

If we become aware of a privacy or security incident involving personal information, we will assess and respond to it in accordance with applicable legal requirements, which may include documentation, containment, remediation, risk assessment, notification to affected individuals, or reporting to regulators where required.

16. Access, Correction, Withdrawal of Consent, and Privacy Choices

Subject to applicable law and appropriate identity verification, you may contact us to ask about personal information we hold about you, request access to it, challenge its accuracy or completeness, request correction, or ask questions about how it has been used or disclosed.

You may withdraw consent where consent is the applicable basis for processing, subject to legal or contractual restrictions and reasonable notice. Withdrawal may affect our ability to provide a requested service. Some information may still need to be retained or used where permitted or required for legal, security, accounting, fraud-prevention, dispute-resolution, recordkeeping, or other legitimate purposes.

Requests involving a company listing may require us to distinguish between an individual's private personal information and accurate public or company information that forms part of the directory. A request to delete personal information does not necessarily require removal of independently obtained, lawful public business information.

Where provincial legislation grants additional rights, those rights apply in addition to the above. In Quebec these include the right to receive computerized personal information you provided to us in a structured, commonly used technological format, or to have it transmitted to another organization, and the right to request that a hyperlink giving access to your personal information be de-indexed or ceased to be disseminated where the conditions set out in applicable law are met.

We may need to verify identity and authority before acting on a request, particularly where the request concerns a company listing, account, billing record, verification material, or another person's information. We may decline or limit a request where permitted or required by law and will provide an explanation where appropriate.

17. Children's Privacy

FreightShipping.ca is a business and industry website intended for freight, logistics, transportation, supply-chain, and related professional audiences. Its directory and paid services are not directed to children, and we do not knowingly seek to collect personal information from children through those services. If you believe a child has provided personal information to us inappropriately, please contact us so that we can review the matter.

18. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our website, directory, services, technology, vendors, business practices, or legal requirements. The effective date at the top of the Policy will be updated when revisions are published. Where required by applicable law or where a change materially alters how previously collected personal information is handled, we may provide additional notice or seek consent as appropriate.
